Develop Roles: Who Can See and Do What

Understand Wonderlic Develop roles - Owner, Account Admin, Coach, Employee, Manager, and Team Manager - how each is assigned, and what each can see and do.

Set people up with the right access so the right people see each person's results.

Overview

What someone can see in Develop comes from two places:

  • Their user role, which an admin sets on the User Management page: Owner, Account Admin, or Coach.

  • Their employee record: whether they've taken the assessment, whether anyone reports to them, and whether they manage a team.

A person can have both. For example, an HR leader might be an Account Admin who has also taken the assessment, so they see everyone's results and their own.

User roles

These are set on the User Management page. See Add, Edit, and Remove Users in Wonderlic Develop.

Owner

  • Has everything an Account Admin has, plus billing access

  • One per account, set up when your account is created

  • Can hand ownership to another user, and is the only one who can

Account Admin

  • Sees every employee, team, and result in your account

  • Adds and manages users and employees, sets up teams, and releases and shares results

  • Can view and manage billing only if billing access was turned on for them

Best for: HR leaders, L&D teams, and whoever runs your rollout.

Coach

  • Starts with access to nothing

  • Sees an employee's results only after those results are shared with them

  • Sees a team's Team Dynamics Report only after it's shared with them. Seeing a Team Dynamics Report doesn't give access to the individual results of the people on that team.

Best for: facilitators, external coaches, and internal mentors.

Employee, Manager, and Team Manager

These come from your employee information, not from User Management.

Employee

  • Anyone you've added on the Employees page

  • Can sign in once their results have been released, and sees their own Home, Index, Results, and Action Planner

Manager

  • Any employee who has been chosen as another employee's manager on the Employees page

  • Sees their direct reports' results, once those results have been released. They don't see their reports' reports.

  • Can add and update action items on a direct report's Action Planner

  • Can't add, invite, or release employees, or change anyone's details

To make someone a Manager, edit an employee on the Employees page and choose them in the Manager field.

Team Manager

  • The person chosen to manage a specific team in Team Management

  • Receives that team's Team Dynamics Report when you release it to managers only

  • Applies to that team only. Being a Team Manager doesn't give access to anyone's individual results.

Manager or Team Manager? They're set in different places and do different things. To let someone see their reports' individual results, set them as the Manager on each employee's record. To control who gets a team's Team Dynamics Report first, set the Team Manager on the team. One person is often both, but you need to set each one.

Everyone who has taken the assessment and had their results released also sees their own results.

FAQ

A manager says they can't see anyone. What should I check?

First, open each of their direct reports on the Employees page and check that the Manager field names them. Then check that those employees' results have been released. Making someone a Team Manager doesn't give them their reports' results.

Can a manager see everyone in their department, including their reports' reports?

No. Managers see their direct reports only. If someone needs to see a wider group, make them an Account Admin or share specific people's results with them.

Do Account Admins and Coaches have their own results?

Only if they're also added as an employee and complete the assessment. A user role on its own doesn't include a personal profile.

Can I take back results I shared with a Coach?

Not from within Develop. Contact our support team if you need to change who has access.

Who can change someone's role?

The account Owner and Account Admins, on the User Management page. Only the Owner can make someone else the Owner.
