Adding or Importing Employees

Add employees to Wonderlic Develop one at a time or import a list from a spreadsheet - required fields, the import template, fixing upload errors, and assigning managers.

You can add employees to Wonderlic Develop individually, or upload a spreadsheet to bring in your whole team at once.


Overview

Both options start from Employee Management and the Add employee button in the top right. Adding an employee creates their record - it does not send them anything. Inviting employees to take their assessment is a separate step you control.

You'll need to be an account owner or administrator to add employees.


Add one employee

  1. Go to Employee Management.

  2. Click Add employee.

  3. Enter their First Name, Last Name, Email, Job Title, and Department. These five are required.

  4. Optionally add a Preferred Name, Location, Employee ID, or Manager.

  5. Click Save.

To choose a manager, start typing the manager's name - they need to already be an employee in your account. Type at least two characters and pick them from the list.

Tip: Even though Employee ID is optional here, it's worth filling in. If you later import a spreadsheet, Employee ID is how Develop recognises existing people instead of creating duplicates.


Import a list of employees

  1. Go to Employee Management.

  2. Click the arrow next to Add employee and choose Import list.

  3. Click Download Template and fill it in.

  4. Select your completed file. It uploads and checks itself straight away.

  5. Click Preview to spot-check the first few rows.

  6. Click Save to finish the import.

Preparing your file

Your file must be saved as .xlsx. Excel 97–2003 files (.xls) and CSV files won't work.

The template has nine columns. The first six are required on every row:

You can reorder the columns, but don't rename the headings - Develop matches them by name.

Important: Delete the template's instruction text before you upload. If you leave it in the sheet, Develop reads it as employee data and your upload will fail.


Fixing upload errors

If anything in your file is wrong, nothing is imported - not even the rows that were fine. Develop lists everything it found so you can fix it all in one pass, and each message tells you which spreadsheet row to look at (the heading row counts as row 1).

Common causes:

  • An email address that isn't formatted correctly

  • A blank cell in one of the six required columns

  • The same email or Employee ID appearing twice in the file

  • A Manager Email that doesn't belong to anyone in your account or elsewhere in the file

  • Template instructions left in the sheet

Correct your file, then select it again. The errors clear and you can continue.


What to expect

Your employees appear on the roster ready to be invited. Nothing has been sent to them yet - you decide when to send assessment invitations.

If you import a file containing people who are already in Develop, their records are updated rather than duplicated. Two things to watch when you do this:

  • Blank cells clear existing information. If you leave Location or Manager Email empty for someone who already has one, it will be removed.

  • Archived employees come back. Anyone in your file who was previously archived is restored to your active roster.

Behind the scenes, Develop matches each job title to a job profile so it can tailor that employee's results. This usually happens without you noticing. If a title can't be matched, it's flagged on the roster - click the job title to enter a clearer one.

Titles taken straight from an HR system are the most likely to need this — things like IT - accting, Personal Serv Contract-2450T, or a role name specific to your company. Entering the everyday name for the role usually resolves it. If it still can't be matched, you'll be asked for an alternate job title to match against instead; your employee's job title stays exactly as you entered it.


FAQ

Can I upload a CSV?
No. Your file needs to be saved as .xlsx. Both .csv and .xls files are rejected.

One row in my file was wrong. Did the rest still import?
No. If any row has a problem, the whole file is rejected and nothing is added. Fix the file and upload it again.

Does adding or importing employees email them?
No. Employees are added without being notified. Sending assessment invitations is a separate step.

How many employees can I import at once?
There's no set limit.

What if someone's email is already in Develop?
If their Employee ID matches too, their record is updated. If the email matches an existing employee but the Employee ID is different, the upload is rejected - check whether you have two records for the same person.

Can I change lots of managers at once?
Only by importing a spreadsheet. There's no bulk option on the roster; otherwise you'd edit employees one at a time.

Does changing someone's manager affect results that have already been released?
Yes, straight away. The new manager can see that employee's results, and the previous manager can no longer see them.

Can managers or coaches add employees?
No. Only account owners and administrators can add or import employees.
